Project Budget Template
project budget template to estimate, track, and control project costs. Covers labor hours, materials, vendor costs, contingency reserve, and actual vs. budget variance. Works in Excel and Google Sheets.
Keep Projects On Budget Before They Go Over
Project overruns don't happen suddenly — they creep up. A task runs long here, a vendor comes in over bid there, and suddenly you're 30% over budget. This project budget template catches overruns early so you can course-correct before they become write-offs.
Budget Template Structure
| Section | What to Track |
|---|---|
| Labor | Team member × estimated hours × hourly rate for each task |
| External Resources | Freelancers, consultants, vendors with contract amounts |
| Materials & Supplies | Physical materials, components, or digital assets needed |
| Software & Tools | Subscriptions or licenses needed only for this project |
| Travel & Expenses | Site visits, client meetings, shipping costs |
| Contingency Reserve | 10-15% buffer for unexpected costs (always include this) |
Estimating Labor Costs Accurately
- Never use round numbers — "40 hours" always turns into 55. Use work breakdown structures to estimate task by task.
- Add a complexity multiplier — For unfamiliar work, multiply your estimate by 1.5
- Track actuals weekly — Catch overruns when you still have time to adjust
- Separate roles — Junior vs. senior time has different costs and shouldn't be blended
Variance Analysis
The template automatically calculates budget vs. actual variance in both dollars and percentage for each line item. Use this to:
- Identify which categories consistently run over budget (improve future estimates)
- Flag line items approaching their budget before they exceed it
- Report project financial status to stakeholders with real numbers
When to Use a Project Budget
Any project with a defined scope and deliverable: software development sprints, construction projects, marketing campaigns, event planning, product launches, and consulting engagements. If a project has more than one person working on it or costs more than $10,000, it needs a budget.
